St. Theresa Parents' Club:  Standing Committees

The following constitute Standing Committees of the St. Theresa Parents' Club:

Auction
The Auction chairs are responsible for developing an Auction theme and recruiting, managing, and executing the School Auction with a team of committees. The Auction builds community and goodwill and provides necessary financial support to the school. It is a 2-year commitment, mentoring on the 2nd year. It is a great opportunity to meet and work with new parents and throw a fabulous party to raise money for the School.

Buddy Family Connect each new school family with a buddy family to welcome them to the school and answer any questions, invite to auction, Catholics School week, etc. Organize a social for all new families and their buddy families at the beginning of the school year so all of the new families can meet.

Daily Lunch Oversee and maintain contracts and relationship with vendor that provides daily lunch service to children and staff. Coordinate schedule and roster of parents who serve lunch daily.

Emergency Preparedness Monitor & maintain emergency supplies for staff/ children.  Keep Cargo Bin (emergency supplies) supplies current and stocked.  Support Principal and staff with safety initiatives, earthquake drills, etc. Recruit volunteers as needed.

Health Screening Ensure all required health screenings are successfully completed for our students. These screenings include MCT Vision, Scoliosis, and Hearing. Recruit volunteers to help with screenings.

Hospitality Plan, buy, set up & clean-up of about 8 events throughout the school year.  Some events can be handled by one person (from start to finish) and some events can be organized by 1 person, but additional parent volunteers to execute.

Photographer Responsible for capturing our Parent Club events, e.g. auction, speakers, caroling event, parents volunteering on camera for use on the website.

Room Parents Responsible for recruiting and implementing the Room Parent program for grades K-8 for the school year. Meet with new room parents at beginning of school year with packets and discuss their responsibilities.  Check in with Teachers and Room Parents throughout the year to ensure that the program is running smoothly.  Ensure each grade has a Teacher Appreciation Luncheon, Parking Lot Coordinators, Gym Coordinator, Library Help (K-4) and Donut Duty Coordinator.

School Maintenance Responsible to do odd jobs, maintenance, turn up rubber in playground structure per Principal and PC President.

Scrip Sales & Marketing - Responsible to receive and fill all Scrip orders in a timely manner.  Order inventory and prepare monthly inventory reports.  Update the software with family information such as names, email addresses, and grade level.  Prepares Summary reports at various times per year for eScrip, Target, Lucky, and OneCause contributions.  Prepares family progress reports 2 times per year, and 1 time at the end of the Scrip Year summarizing family Scrip contributions.  Promote and publicize the Scrip Program to the St. Theresa Families.  The goal is to increase participation, awareness, and help parents fulfill their Scrip commitment.  Be available to meet with parents to setup and explain Scrip.
Accounting - Responsible for handling the Scrip bank account.  Depositing weekly/special order payments.  Reconciling the statements and sharing info with PC Treasurer.  Invoicing buy-out families and end-of-year balances families.  Work closely with the Scrip Coordinator handling any problems with families accounts and verifying funds.

Spirit Plan, create, design, market, and sell range of non-apparel merchandise that support St Theresa School Spirit.  Also develop Dress Passes, dates to sell at school auction.

STAR Responsible for the teacher and staff appreciation activities. Big event is Staff Appreciation Week in the spring where we host a week of treats like a coffee bar, lunch, and a take-home dinner. We also hold monthly drawings for "treats", recognize staff birthdays and manage the staffs "My Favorite Things" lists. STAR also handles the Box Tops fund-raising duties.

STAR Box Tops
Responsible for marketing Box Tops, collection and counting twice a year (March/November).  Mail in Box Tops for redemption for school.  Announce winning classes/individuals.

Traffic Duty Scheduler Coordinate with parent volunteers to provide traffic supervision in the school parking lot during drop off and pick up times or as set by the Parents' Club Committee. Manages and monitors the volunteer schedule throughout the school year with help from the grade level traffic duty representatives.  Utilizes Signupgenius.  Tracks "buy out" families, no shows & paid substitutes and other issues that may arise. Ensures all school families participate.

Used Uniforms Collect, clean, sort and sell used St. Theresa Uniform components from Lands End. Manage volunteers on the committee.  Hold approx. 3 "used uniform" sales per year, typically summer, back to school and mid-year. Proceeds from used uniform sales are used to benefit the St. Theresa Parents' Club fund.

Volunteer Responsible for the retention and the recruitment of volunteers at St. Theresa School. Holds sign ups for the first day of school.  Communicates volunteer sign up with Committee Chairs.  Also responsible for assigning volunteer parishioners to appropriate areas of the school as needed.

Webmaster Responsible for updating the Parents' Club Website with content, news, and document updates from various Committees. Assist the Auction Committee with the setup and testing of the Auction registration and reporting software.

Yahoo Group Responsible for adding new members, subtracting old members upon request, assisting people with any access or membership trouble, and managing any misuse issues (in coordination with STPC President). The St. Theresa Yahoo Group is a communication tool for the St. T parents to use for communicating with the school families for personal matters such as “things for sales”, babysitters, tutors needed, etc.
